JOB SUMMARY:

To provide support to various groups within the company in the areas of data collection, data processing, project file management, and quality control for all in-house drafting projects.

ESSENTIAL FUNCTIONS:

  • Prepare and upload daily reports using various systems and applications.

  • Monitor and manage employee time-off requests using designated applications and the Microsoft Outlook calendar.

  • Assist with onboarding activities for new hires.

  • Add and deactivate projects within the time management application.

  • Monitor and respond to the company’s main phone line in a timely and professional manner.

  • Send periodic reminders to employees regarding time entry deadlines.

  • Review and proof all in-house drafting deliverables for accuracy and completeness, ensuring strong attention to detail.

  • Organize and manage all project files across multiple teams within the company.

  • Assist with maintaining, updating, and returning project files to clients.

OTHER ESSENTIAL FUNCTIONS 

  • Attend work as scheduled for a minimum of 8 hours per day, 5 days per week, in a remote work environment within the United States with high-speed internet.

  • Maintain regular and reliable attendance.

  • Remain available and responsive during established core business hours, including timely participation in meetings, prompt response to communications, and consistent online presence using company communication tools (e.g., Microsoft Outlook, Teams).

  • Complete assigned tasks and projects accurately, efficiently, and within established deadlines.

  • Support and contribute to the development and maintenance of positive client relationships.

  • Interact professionally and effectively with employees, clients, and external partners.

  • Demonstrate a high level of professionalism in all communications and job-related responsibilities.

  • Follow direction from supervisors and management and respond appropriately to feedback.

​MINIMUM QUALIFICATIONS:

  • Associate degree required; technical field preferred.

  • Minimum of four (4) years of experience in a technical, engineering, or related industry.

  • Advanced proficiency in Microsoft Excel is required.

  • Strong written and verbal communication skills, with the ability to interact across all levels of the organization.

 

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities and reports to the Project Manager or their designee.

 

TRAVEL:

This position requires minimal travel.

 

WORKING CONDITIONS:

This position operates in a professional remote work environment and requires a dedicated workspace with reliable high-speed internet. The role requires routine use of standard office equipment, including computers, phones, and other electronic devices, as well as standard office applications (e.g., Microsoft Office) and internet-based systems.

 

PHYSICAL REQUIREMENTS:

The physical demands described here are representative of those required to successfully perform the essential functions of this position. While performing the duties of this job, the employee is regularly required to communicate clearly and effectively, including talking and hearing. The employee is frequently required to sit, stand, and walk. This role requires manual dexterity and the ability to perform light physical activity.
