JOB SUMMARY:

To provide support in a fast-paced Records Room/Document Center serving a large corporate clientele with primary responsibilities relating to the recording and releasing of project drawings according to a prescribed process and in a timely manner.  The duties and responsibilities exist within the entire Records Room.  Specific as well as back‐up duties will be assigned to each of the four (4) positions to ensure full coverage in this critical client‐based facility. 

ESSENTIAL FUNCTIONS:

  • Project Drawings Release - Release of engineering drawings from client based application/software and adhere to prescribed  processes which involves: 

    • Verification of information and documents. 

    • Printing and preparing forms. 

    • Submitting drawings to client-based application/software for automated verification and resolving drawing conflicts that may arise. 

    • Communicating directly with the client’s engineers on a daily basis. 

    • Preparing drawing packages, send notification emails, and dispatching the packages to the field in a timely manner. 

  • Prepare specification Books by following information provided on Table of Contents form provided by engineers to access a specialized website for procedure numbers. 

  • Inventory which includes: 

    • Managing office Bond paper for plotters and toners. 

    • Deciding on timing for the procurement of paper and toner. 

    • Ensuring stock levels are maintained and that the right types of paper are available. 

  • Provide support in all functions of the Records Room/Document Center which may include: 

    • Handling customer queries by phone and in‐person. 

    • Filing and/or compiling documents. 

    • Printing, copying, and scanning documents.  

    • Dispensing office stationery and supplies from inventory. 

  • Provide back-up support.  

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree preferred; two‐year technical degree and two years of related experience accepted

  • Previous experience working in a document control environment 

  • Experience working in a project‐based environment is a plus 

  • Very service‐oriented with experience working in a client‐driven environment 

  • Demonstrable experience working on activities that require following a long complicated process 

  • Ability to apply client specifications and preferences to work output 

  • Excellent oral and written communication skills

  • Strong focus on quality

  • Prior experience using high‐speed, large scanners and printers preferred, but not required 

  • Extremely strong computer skills – use of word, excel and navigating websites 

  • Must be able to learn specialized software in a short period of time 

  • Strong attention to detail with the ability to follow procedure and follow‐through 

  • Self‐motivated working within set rules and guidelines to support, and be part of team effort

  • Proven ability to communicate effectively orally and written 

  • Strong analytical thinking with the ability to ask questions and note when something is wrong/amiss 

OTHER ESSENTIAL FUNCTIONS:

  • Attend work as scheduled, for up to 8 hours at a time (which does not include a lunch break), five days a week, in a PowerWright office or remote location.

  • Prompt and regular attendance.

  • Ability to work shifts beginning as an assigned, designated start time until an assigned, designated end time.

  • Ability to complete assigned tasks/projects on time and as specified.

  • Ability to manage and enhance current and future client relationships.

  • Ability to interact with employees and customers/clients in an appropriate manner.

  • Exhibit and maintain the highest degree of professionalism in the performance of all related duties.

  • Ability to receive and understand directions from supervision and management.

 

SUPERVISORY RESPONSIBILITIES:

This position has no direct reports.

 

TRAVEL

This position requires minimal travel.

 

WORKING CONDITIONS:

This job operates in a professional office environment requiring routine use of standard office equipment such as computers, electronic devices such as tablets, printers, phones, photocopiers, filing cabinets as well as use of standard office applications such as MS Office (including extensive use of video communication and collaboration platform), and internet based filing systems.

 

PHYSICAL REQUIREMENTS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to clearly communicate, talk, and hear.  The employee is frequently required to sit, stand and walk.  Manual dexterity is required.  Some light physical effort required.  May be required to lift files, papers and documents up to 25 pounds.
